The Employee Resignation module of the OpenHRMS App Store must be installed for the user to use the OpenHRMS Resignation module. After the module has been installed, they display the database's Resignation menu icon.
Employee Resignation
Anyone can now access the module by clicking the Resignation menu button. Employee Resignation Details will be displayed on the OpenHRMS Resignation module's home screen, as seen below.
All the information on employee resignations is kept in the Employee Resignation window. The window will record and display the whole history of the company's employee resignations. One can learn crucial details about the resignations by browsing this window, including the Employee Name, Department, Contact Information, Join Date, Last Day of Employment, Approved Last Day of Employment, Resignation Type, Notice Period, and Status. The user can click on the necessary record if they want to view the employee resignation request in more detail. The system will now display all of the information as seen below.
Users can modify multiple filters and grouping options based on various criteria using the Filters and Group By menu. This can rapidly get the desired resignation information. Additionally, the 'Save current search’ and ‘Import records’ choices are located on the Favourites tab
The employee can quickly create a new Resignation report by selecting the NEW button. The employee will be taken to a new screen where they can examine the Employee Resignation creation form after clicking the NEW button. The new employee resignation can be made via the creation form. The employee is prompted to enter their employee details on the creation form.
The employee field provides the employee name which means the person for whom the request is created. The employee's Department will then be assigned. The Employment Contract area is where the specifics of the employment contract can be entered. If the employee record has already been created in the system, all of these fields will be automatically assigned.
Similarly, to that, the Dates section can be used to define the employee's critical dates. The employee's joining date, which is regarded as the initial contract's start date, can therefore be mentioned first. The 'Last Day of Employee' section also allows the employee to enter the requested resignation date from the company. The required data should be entered in the Notice Period column.
Employees have another field to complete in the section under "Resignation Details." The reason is that. Finally, fill out the Reason form with the reason the employee is leaving the company.
Employees can use the Save button to save details once all the requirements have been satisfied. Click the Confirm button if the new resignation is accepted after saving it.
From the Draft state, it will now go to the Confirm state. If the employee's resignation is accepted, an Id will immediately be created for it, and it will begin with the letters "RES," as shown in the screenshot below.
The organization has an authorized person for each employee. The designated responsible person's name as stated in the employment contract. The employee's request to resign may only be approved by the appropriate responsible party. For the Administrator to examine the created resignation requests, he must log in to the database.
The administrator can open this and, after reviewing the information, approve or deny the request. On the upper left side of the window, some buttons say "Approve" and "Reject".
Choose the type of resignation from the options in the Type column, including "Normal Resignation" and "Fired by the Company." These two choices are visible to Admin in the dropdown.
Additionally, the manager's confirmation date can be entered in the "Approved Last Day Of Employee" section. The resignation request can be approved by the admin by clicking the Approve button.
The request for resignation will then change to the Approved status.
Then let's check whether the employee still exists in the company database or not. To check this move to the Employee Module.
Open the Employees panel now to see that specific employee disappears from the list of employees. Let's open the Employees window to see this. can't seem to locate that employee. The Employees window will no longer display the information. because the system automatically archives the employee's personal information.
Apply filters if the user wishes to see the specifics of the fired employee. View the 'Resigned Employees' default filter under the Filters tab, as demonstrated in the image below.
Users will be able to access the employee's details as shown below when applying to the Resigned Employees.
Approved Resignation
The module offers an additional section for managing all the approved resignations in addition to the Resignation window. So let's view the employee resignation by opening the Approved Resignation menu.
